GFS seeks an experienced addition to our team to focus on event management and fundraising event strategy. Our dynamic, team-based approach supports a fast-paced work environment that requires attention to detail, flexibility, and ability to problem-solve on the go.

 

You must have 3-5 years of experience in event management; bonus points if you have a background in nonprofit development or fundraising. Excellent interpersonal, writing and communication skills are mandatory to succeed in this role. GFS’s customized event management approach is tailored to each nonprofit client. Your responsibilities will include a combination of event and logistics management and execution of special events. You will also coach nonprofits to reach established fundraising goals through corporate sponsorship, table captain management, auction item procurement and other avenues. You will work with multiple clients on firm deadlines and tight budgets while managing competing priorities.

 

You must demonstrate a willingness to work in multiple locations, including client offices, remote settings, and event venues. Proficiency in Word, Excel, Google Workspace, Canva, PowerPoint and Gmail are necessary.

GFS Events is looking for a dynamic and experienced person to assist with our fundraising events throughout the year. This is a full-time employment opportunity with an average of 40 hours per week, averaging more during event season. Events will be on weekdays and weekends.While our team is small, we are mighty and we have a lot of fun!

Main Responsibilities

  • Plan, manage and execute multiple events throughout the year including but not limited to: auctions, galas, benefit lunches, golf tournaments and/or walks/runs.

  • Lead client and committee meetings, coordinate live and silent auctions, supervise/train volunteers, and complete varied delegated assignments that ensure the success of events.

  • Prepare, monitor and analyze event revenue and expense budgets.

  • Serve as the project manager for each client, ensuring deliverables and deadlines are met.

  • Act as the main point of contact for event committee members, including board members, volunteers, and staff.

  • Cultivate and maintain relationships with sponsors, donors, and key stakeholders.

  • Follow up with sponsors, table captains, and businesses throughout the event process

  • Train clients and volunteers on event-related tasks and fundraising strategies.

  • Communicate, both in writing and verbally, with people at all levels of an organization.

  • Create graphics and displays for events.

  • Coordinate event logistics, including venue selection, vendors, and catering.

  • Manage fundraising platforms and online auction systems.

  • Attend networking meetings, phone calls, and online seminars to develop potential partnerships for GFS Events.

  • Ability to create and maintain event timelines and project plans to keep events on track.

  • Provide onsite event management, ensuring smooth execution from start to finish.

  • Other duties as assigned.

Requirements

  • Bachelor’s degree or equivalent combination of education and work experience.

  • Minimum of 3-5 years managing and leading successful events at non-profit or other events.

  • Commitment to supporting nonprofit organizations and their missions.

  • Comfortable with learning new technology and platforms.

  • Experience leading meetings via Zoom, conference calls, and email communication.

  • Able to manage complex projects including keeping track of many moving parts while maintaining attention to detail and keeping the big picture in mind.

  • Willing and able to travel periodically to meetings and events.

  • Must be willing to work flexible hours, including weekends and evenings (for events).

  • Full time access to a reliable car with space to transport items if needed.

  • Demonstrated ability to problem-solve and work as part of a fast-paced team.

  • Strong problem-solving skills and ability to adapt quickly in fast-paced environments.

  • Excellent written and verbal communication skills.

  • Exceptional organizational skills and attention to detail.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Ability to meet deadlines.

  • Proficiency in Google workspace, Microsoft Office and database management.

  • Ability to self-motivate, self-direct, and manage multiple projects simultaneously.

  • Ability to stay calm, patient and focused under pressure especially during high-stakes events

  • Provide onsite event management, ensuring smooth execution from start to finish.

  • Strong self-motivation, team orientation, and entrepreneurial mindset.

  • Flexible and willing to do whatever it takes to get the job done.

  • Experience with event management software preferred.

Environmental and Working Conditions

The majority of your work will be conducted in an office setting; however, major blocks of time will be away from the office at various off-site meetings and respective event locations in Seattle, Bellevue or other client locations. Work requires the use of personal mobile devices and laptops. This is a full-time position with an average of 40 hours per week. Days and hours of work may vary depending on business needs and weekend events. Weekend hours are required.

Physical Demands

May be required to sit or stand for periods of one to five hours at a time. Ability to perform complex mental functions and concurrently manage multiple deadlines and projects. Must be able to lift up to 30 pounds.

Pay and Benefits

Job Type: Full-time

Pay range of $60,000 - $75,000

Experience:

  • Customer service: 1-2 years (Preferred)

  • Events management: 2 years (Preferred)

About Us

  • GFS Events is an award-winning special events and development consulting firm that provides fundraising and special event expertise to nonprofits across the country.

  • We primarily produce auctions, galas, luncheons, golf tournaments and community events.

  • We are looking for part-time and weekend event support for our events. Days and hours of work may vary and/or change depending upon business needs and weekend events. Will likely range from 5-20 hours a month in our busiest seasons which are Feb-June and September-November. Hours are generally between 4 p.m. -9 p.m. on event days.

Main Responsibilities

  • Provide software support for the registration/check-in/check-out desk at galas, luncheons and other special events.

  • Manage registration for all attendees at the event.

  • Onsite data entry.

  • Other event tasks as needed such as assisting vendors, setting up auction items, and working with volunteers.

Must Haves

  • Comfortable with learning new technology and platforms.

  • Flexibility of hours.

  • Weekend hours are required, locations can vary, average client is in the greater Seattle area.

  • Familiarity of Greater Giving, Auctria, or similar fundraising platforms preferred but not required.

  • Must have a reliable vehicle.

Preferred Skills

  • 1-2 years working as a registration/check-in/check-out support.

  • Ability to solve technical problems on the go.

  • Attention to detail and good with numbers

Pay and Benefits

  • This is an hourly position.

  • $30 an hour with a minimum of three  hours per event.

  • Mileage and parking reimbursement.
